The Calendar is the first screen visible when you open the application, which allows you to view the prices suggested by Smartpricing for all properties, rooms, and days.
How is the Calendar structured?
The screen is composed of:
- A top section for viewing dates, total occupancy, and events for the reference property.
- On the left, a list of the room types for which Smartpricing is setting the prices.
- In the center is the price grid for the reference room types and dates.
How to read the price grid?
Price cells can appear differently depending on whether or not modifiers have been set.
Cell with no icon
In this case, no modifier has been set for that specific date and for that specific room type. Consequently, the final price, which is the price published on your PMS, corresponds to the price recommended by Smartpricing.
Cell with a hollow gear
In this case, a modifier has been set but is not yet active. By clicking on the cell, you can see which modifier is active and you can also change it.

For example, a maximum price may have been set that is higher than the price shown in the cell. The final price in the cell is the one recommended by Smartpricing.
Cell with a solid gear
In this case, a modifier has been set that is already active: this means that the final price, which will be published, is not the one recommended by Smartpricing, but the one corresponding to the modifier. The price recommended by Smartpricing is always visible and is shown smaller, above the final price.
Occupied units count
If you prefer cells without the occupied units count for a cleaner view, it is possible to disable the count within the price cells by changing the Calendar display mode next to the date in the top left.
Icons for Orphan Nights
If you have configured Orphan Nights, because your PMS / Channel Manager allows it, you can select the view of active Orphan Nights in the Calendar by selecting the Moon icon from the Calendar display modes next to the date in the top left of the price grid. Dates where there is an active Orphan Night will show a half-moon icon in the top right of the price cell.
Price cell colors
The cells can also be colored white or purple, based on occupancy.
The color white indicates the availability that a room type has for a specific date. A cell entirely colored white indicates full availability for that room type for a specific date. In the top right, there is also a count, which indicates the number of units occupied for that date and room type.
The color purple indicates the amount of occupancy that a room type has for a specific date. The cells turn purple as occupancy increases. In the top right, there is also a count, which indicates the number of units occupied for that date and room type.
Colors of other cells in the Calendar (property occupancy)
The same colors, in darker shades, are also used for the total occupancy of the property, at the top, for a specific date. It performs the same function as the purple color of the price cell but, instead of being limited to the room type, it indicates the occupancy of the entire property, also showing the exact percentage.
Within the cell, there is also another bar, in a darker purple, to indicate the average occupancy of competitors in your strategic market. If the level of the bar is below that shown in the entire cell, it means that the competitors' occupancy for that date is generally lower. By hovering the mouse over the occupancy cell, you can see the comparison.
How to view price justifications?
From the price grid:
- Move your mouse over a price cell, and an (i) icon will appear.
- Hover your mouse over the (i) icon to check all the price justifications that affect the suggested price.
Alternatively:
- Click on the price cell you want to check in the Calendar.
- In the panel that opens, expand the price Details to view all the justifications.

How to set modifiers for a specific date?

From the Calendar:
- Expand the room type you wish to modify using the arrow on the name row.
- The modification options will appear below each price cell.
- Click on Lock to enter a locked price, or enter a maximum price
, a minimum price
, an increase or decrease (-) in euros
or as a percentage
- After entering the values, click anywhere on the page or press Enter to confirm the changes; the price will update and be immediately sent to the OTAs.
Alternatively, also from the Calendar, you can proceed as follows:
- Click on the price cell for a specific date. A dialog window will open on the right, as shown below.
- In the Price rules section, you can enter the same modifiers described in the previous steps.
- Once the data is entered, press Apply at the bottom right to make the changes effective.
How to set modifiers for Time Intervals and Multiple Room Types?

The platform also allows you to set minimum and maximum price parameters for extended time intervals and for multiple room types, in order to facilitate and speed up price management.
From the Calendar:
- Click on the Price rules icon in the top right corner, and a dedicated tab will open.
- Define the Dates for which you want to apply the change. After selection, you can also specify the days of the week (highlighted in light blue) that will be affected by the change by clicking them to select or deselect.
- Select all the Rooms for which you intend to apply the same change.
- Enter the locked, minimum/maximum, or increase/decrease price in the corresponding fields.
- Repeat the previous steps for other Rooms using the Add more rooms and rules option.
- Confirm all operations using the Apply button at the bottom right.
Tip: To select multiple dates, you can use the selection tool shown below or press Ctrl + click and drag the mouse to highlight multiple cells in the Calendar, then click on Price rules for current selection.
How to bulk remove modifiers on specific dates?
From the Calendar page:
- Click on Price rules in the top right corner.
- Under Date, select the date range that includes the modifiers you want to remove.
- Select all the Rooms for which you want to see the active modifiers.
- Under Delete rules, you can view the active modifiers for the selected rooms and delete them using the trash can icon on the right.
- Click on Apply to apply the changes immediately.
How to remove modifiers on single dates and single rooms?
From the Calendar page:
- Expand the room type you wish to modify using the arrow on the name row.
- The modification options will appear below each price cell.
- You can remove the set modifier by clicking on it and deleting it. Once done, click anywhere on the page to apply the changes. The prices will be immediately updated and sent to the connected PMS.
Alternatively:
- Click on the single cell containing the room price. A window will open on the right showing all active modifiers on that date.
- Apply the changes in Price rules.
- Click on Apply to save the changes and immediately send the prices to your PMS.
How to quickly calculate prices for dates in the Calendar?
From the price grid:
- Click on the 3 dots (...) in the top right of the screen, then select Price calculator.
- In the menu that opens, select the date range for which you want to calculate the prices.
- Then choose all the rooms you want to include in the price calculation.
- Click the Calculate button at the bottom right; the price will be immediately shown on the screen.
Other calendar settings
By clicking on the 3 dots (...) in the top right of the screen, you can access the following Calendar Settings:

Show market occupancy: Market occupancy refers to the accommodation facilities in your Strategic Market. This will disable the purple bar in the property's daily occupancy cell, but will not disable the calculation of the associated justification.

Show price rules: Always show the expanded price rules in the calendar.
- If you have access to multiple properties with your email address, you will also see the Show multiple accommodations option: With this option, you can choose which properties to always display in the Calendar.
How can I know if my prices have been sent?
You can know if a price has been successfully sent from Smartpricing to your PMS by clicking on the relevant price cell and checking the status of the Published Price, which can be green, in case of success, yellow, if the price sending is in a queue, and red, if it has failed.
Furthermore, you can consult the general status of price sending for all dates in the Calendar via the status button in the top right corner.
Clicking on it will give you a general overview of the number of prices processed for the next 500 days, how many have been sent, and how many might still be in the queue for sending.
Price sending limits
Some PMS or channel managers may have daily or hourly limits on sending prices. The price sending status may therefore remain pending to prevent your PMS or Channel Manager from exceeding the limit. For this reason, we use timed sending queues. This allows us to avoid temporary blocks in sending prices.
My latest prices have been sent, but I don't see them on my OTAs. Why?
You may not see Smartpricing's prices on OTAs if your PMS or Channel Manager, despite having received the price sent by Smartpricing, requires time for processing. You should be able to see it shortly; if this does not happen, we recommend you contact the support of your PMS or Channel Manager.
Can I see a history of all prices sent to the PMS or Channel Manager?
Smartpricing provides the last 10 prices sent to the PMS or Channel Manager, including dates and times of sending to facilitate any reconciliations.
You can access it by clicking on the relevant price cell in the price grid, then selecting the Price History icon in the menu that will open on the right of the screen.
